Event Marketing – Program Coordinator – Oakville

Job Description:

The Program Coordinator (PC) role is the entry point into the Program Management (PM) Team.  The PC supports the Program Manager in all aspects of program execution and helps deliver overall client satisfaction.  The PC effectively manages and executes the day to day requirements of our clients programs.   This position entails interaction with internal staff and key suppliers, and has limited interaction with clients, all under the direction of the PM.  The PC assists in the execution of specific project plans, manages documentation support, project performance tracking, and general event monitoring and reporting.  The PC acts as a leader and manager to in-field staff and is their main point of contact for all program inquiries.

Specific Responsibilities Include:
People Management:

  • Act as a leader, trainer and mentor to In-Field Manager’s (IFM’s) demonstrating strict adherence to Endo Methodologies, Endo policies and best practice for successful Event Management
  • Coach and develop IFM’s assigned to events to ensure successful execution.
  • Hold training sessions as required
  • Communicate and manage event expectations and details to all in-field staff by creating in-field Event Manuals and other various resources containing information such as: Where the events will take place, hour’s staff is expected to work, reporting that will need to be completed etc.
  • Hold in-field staff accountable for their performance, and report any staff that aren’t performing to our standard, to Staffing Provider for removal from Endo programming
  • Review and compile all performance and/or attendance issues (documented by IFM) for all in-field staff, and forward to applicable Staffing ProviderObserve and measure performance of staffing partners in field by acting on mystery shopping feedback and in field visit observations

Program Coordination:

  • Provide direct support to PM’s and communicate program needs and performance on a daily basis to the Endo team
  • Assist in the management of outsourced event, production and creative vendors to ensure that they deliver against intended results
  • Investigate, escalate and ensure that all project issues are effectively resolved
  • Makes recommendations on key design factors for each event including site, date/time, event flow, space requirements and production needs
  • Maintain event inventory checklist and ensure proper equipment is shipped in a timely manner while adhering to program budget
  • Review Daily Manager Reports from IFM and make additions as necessary.
  • Act immediately on any urgent requirements and escalate them when needed
    Act as weekend on-call manager for all active programs in field
  • Be present and participate at most scheduled program set-ups to ensure that the event has been set-up according to Endo standards
  • Ensure programs are launched and executed within approved budget (as per PM)
  • Coordinate all event logistics, as it applies to the infield staff, including travel, flights, and hotels
  • Participate in off-site client meetings as required

Financial Support and Program Reporting:

  • Assist PM in the development of all project documentation between the client and authorized Endo signing officers. (Master Service Agreement, Project Plan, Statement of Work, Daily Managers Report, Risk Management Plan, Post Implementation Reviews, etc.)
  • Prepare status reports outlining program development and budget implications as required
  • Under the direction of the PM, prepare and consolidate post event analysis, identifying measured results against the key deliverables of the program
  • Participate in kick-off/post program meetings to offer valuable feedback on improving future programs
  • Obtain feedback and make recommendations to improve execution for future events

Qualifications:

  • Post secondary education required, preferably in a business administration, finance, marketing or project management related discipline
  • Demonstrated progressive experience in people management, preferably in the event marketing industry
  • Demonstrated progressive experience in project management, preferably in programs associated with the deployment or implementation of experiential marketing events

Requirements:

  • Valid driver’s license and on-going access to a vehicle is mandatory
  • This job will require working during some weekends, evenings, and holidays
  • Some travel is required
  • Criminal & credit background check to be performed
